When you connect VideoToTextAI to ChatGPT, we receive your account identifier, the permissions you authorize, and the inputs sent to our tools: selected social-video URLs or attached audio/video files, file identifiers and names, language choices, and transcription or export requests. We download selected attachments using temporary download links provided by ChatGPT. We do not receive your entire conversation merely because you connect the integration. We use this data to process media, save and retrieve your projects, return transcripts and subtitles, and account for usage.

12. Recipients and information returned to ChatGPT

Service providers that support authentication, cloud hosting and storage, transcription and AI processing, analytics, error monitoring, and customer support may process the data needed for those functions. Website payment providers process billing information; our ChatGPT tools do not request payment-card details, passwords, or verification codes. When you request a transcript, library search, account context, or export in ChatGPT, the corresponding content and account or project information are returned to ChatGPT, where OpenAI’s terms and privacy policy also apply. Public social-video media and transcripts may be cached and reused for requests for the same public video; your private attachments are not made available to other accounts.

13. Retention

Temporary local copies of ChatGPT attachments are removed when ingestion finishes or fails. Saved media, transcripts, and project records remain available while retained in your account, until you delete them or request erasure, subject to applicable storage limits and necessary legal exceptions. OAuth access tokens expire after 15 minutes; connection grants expire after 30 days unless revoked earlier, and expired authorization records are removed by periodic cleanup. Expiry or disconnection does not delete saved projects. Diagnostic logs and backups are retained for the minimum period needed for security, troubleshooting, recovery, and applicable legal requirements, then removed through their configured retention cycles; backup deletion is not necessarily immediate when you delete an active project. Billing and usage records may be retained where needed to resolve transactions or comply with law.

14. Your controls

You choose which resources to send to our tools and authorize access during account connection. You can revoke the ChatGPT connection in VideoToTextAI, manage or delete saved files in your account, and export transcripts. Disconnecting prevents further authorized access through that connection; it does not recall results already returned to ChatGPT. Contact support to request account or content erasure, access or portability, or to object to optional analytics processing. Website usage analytics and referral attribution may include account or session identifiers, timestamps, IP addresses, and referral parameters, and are used to understand service usage and diagnose problems. Submit only content you are authorized to share; do not submit payment-card data, government identifiers, authentication secrets, or protected health information through the integration.
